Hiring: Operations Manager + Client Service Associate

Hours:

M-Th    8AM – 3PM 

Fr         8AM – 2PM 

 Paid lunch hour Tues-Fri, weekly team lunch on Monday

 Duties and Responsibilities 

Ideally, this position will support owners with office operations and compliance processes. It will also provide an additional client support person for the business when operations are up to date.  

 Some responsibilities will include:

  • Own the onboarding management for new clients (through their checklist)

  • Delivery of required documents

  • Tracking the progress from initial meeting to account opening through funding and eventually, trading

  • Complete CRM, billing and personal data input into the compliance system  

  • Complete monthly compliance checklist for review and submission

  • Vote proxy notices and track for compliance 

  • Manage compliance tracking for service providers with contract details 

  • Annually complete due diligence 

  • Phone system management 

  • Training coordinator for annual internal compliance continuing education and required training (Elder Abuse Training, Licensing & Registration, Fraud Prevention) 

  • Prep weekly team meeting agenda 

  • Daily trade blotter review 

  • Client Check Deposits

  • Billpay/Quickbooks Review

  • Filing and organizing client documents

  • Vendor relations and invoice management

  • Speaking with clients if covering phones or at events
